Please read these terms carefully before using Dentrace.
About Dentrace
Dentrace is a dental operations platform that provides inventory management, procurement, clinical protocol management, patient records, and analytics for dental practices. These Terms of Service ("Terms") are a legal agreement between you ("User," "you") and Dentrace ("we," "us") governing your access to and use of the platform.
By creating an account or using any part of the Dentrace platform, you agree to these Terms. If you do not agree, do not use the platform.
Acceptance and Modifications
We may update these Terms to reflect changes in the platform, applicable law, or our business practices. Updated Terms will be posted on this page with a revised effective date. Continued use of Dentrace after changes are posted constitutes acceptance of the updated Terms.
Registration
To use Dentrace, you must create an account with accurate information including your name, email address, and — where applicable — your PRC license number and clinic details. You are responsible for keeping this information current.
Account Security
You are responsible for maintaining the confidentiality of your login credentials. You must notify us immediately at support@dentrace.com if you suspect unauthorized access to your account. We recommend enabling multi-factor authentication where available.
Permitted Use
Dentrace is intended for use by licensed dental professionals and authorized clinic staff in the Philippines. You agree to use the platform only for legitimate dental practice operations — inventory tracking, procurement, patient management, and clinical protocol management.
Your Data
You retain full ownership of all data you enter into Dentrace — including patient records, inventory data, supplier information, clinical protocols, and financial records. We do not sell, share, or use your data for purposes outside of providing and improving the Dentrace service.
Patient Data
Patient records stored in Dentrace are subject to the Philippine Data Privacy Act of 2012 (Republic Act No. 10173). You are responsible for obtaining appropriate consent from your patients for data collection and storage. Dentrace encrypts patient data at rest and in transit, and provides role-based access controls to restrict data access to authorized personnel.
Supplier Pricing Privacy
Pricing data from your own suppliers ("suki" suppliers) is private to your practice. It is never visible to other Dentrace users, platform suppliers, or Dentrace staff.
Data Export and Deletion
You may request a full export of your data at any time. Upon account termination, you may request deletion of your data in accordance with applicable data retention requirements.
Service Availability
We aim to maintain high availability of the Dentrace platform but do not guarantee uninterrupted service. Scheduled maintenance windows will be communicated in advance. We are not liable for service interruptions caused by factors beyond our control.
Limitation of Liability
Dentrace is a practice management tool — not a medical device. Clinical decisions remain the sole responsibility of the licensed dental professional. Dentrace is not liable for clinical outcomes, procurement decisions, or inventory management errors.
In no event shall our total liability to you exceed the amount paid by you for Dentrace during the twelve (12) months preceding the claim. This limitation applies regardless of the legal theory under which liability is asserted.
AI Features
Dentrace includes AI-assisted features such as reorder suggestions, protocol matching, and cost analysis. These features provide recommendations only. No automated action — including purchase orders — is executed without your explicit approval. You are responsible for reviewing and approving all AI-generated recommendations.
Governing Law
These Terms are governed by the laws of the Republic of the Philippines. Any disputes arising from these Terms or your use of Dentrace shall be resolved in the courts of Metro Manila, Philippines.
